Create Vendors
Machine Log vendors are entries to track and set up notifications to your vendors in the event of a machine incident. The aim is to simplify and speed the creation of service tickets, help the vendor predict the need for preventative maintenance, and ultimately to reduce machine down time.
To create a Machine Log vendor, click Manage, and then Vendors from the Machine Log section.
If no vendors have been created, the Add Machine Log Vendor page will be shown. If vendors have already been created, click the + Add Vendor button in the upper right of the screen as shown below.
Fill out the fields shown below as best fits the needs of your organization:
Manage Vendors
To make changes to a Machine Log vendor, click Manage, then Vendors from the Machine Log section, and click the Edit button to the right of the desired vendor.
Edit the individual fields and click the Save button to save any changes.
Create Room Equipment
To create a Machine Log room equipment, click Manage, and then Room Configuration from the Machine Log section. Click the + Add Equipment button in the upper right of the screen as shown below. Alternatively click the + Add Equipment below each machine to create room equipment associated with that machine. Note that any individual equipment desired that is associated with a room can be tracked.
Fill out the fields shown below as best fits the needs of your organization:
Be sure to check any field engineers associated with the equipment and click the Add equipment button.
Manage Room Equipment
To make changes to Machine Log room equipment, click Manage, then Room Configuration from the Machine Log section, and click the Edit icon to the right of the desired room equipment.
Edit the individual fields and click the Save button to save any changes.
Manage Room Configuration
Each machine is setup with a Room Configuration option. To access, click Manage, Room Configurations from the Machine Log section, and select the Room Configuration icon underneath the desired machine. This will open the Machine Log Setup page where you can set or change the following machine log options for that machine:
- Set/Change Vendor
- When to contact Vendor
- Who can contact Vendor (Role Specified)
- Who do you want notified of Machine Log updates (Role and User Specified)
**Note - In order for users to receive machine log notifications, the following must be verified:
- User has verified their email with TotalQA.
- User TotalQA account is setup to receive notification emails
- User Total QA account is setup to have access to the machine and to receive notifications from the machine.
Fill out the fields shown below as best fits the needs of your organization:
Create Categories
To create Machine Log categories, click Manage, and then Categories from the Machine Log section. Click the + Add Category button in the upper right of the screen as shown below.
Create the category label as shown below as best fits the needs of your organization and select the machines that the category applies to:

To make changes to Machine Log categories, click Manage, then Categories from the Machine Log section. To delete a category, click the Delete icon to the right of the category to be deleted. To edit a category click the Edit icon to the right of the desired category.
When editing category names a popup as shown below will appear where the category label can be edited:
Create Custom Fields
To create a Machine Log custom field, click Manage, and then Custom Fields from the Machine Log section. To create a category click the + Add custom field button in the upper right of the screen as shown below.
Create the custom field by adding the field label, select the priority (order of the field), check the Required box if the field will be required to submit an incident, and select which machines the custom field will apply to:
Priority determines the order in which the custom fields are displayed. If the "Required" checkbox is checked, the custom field must be completed before a new Machine Log incident can be created.
Manage Custom Fields
To make changes to Machine Log Custom Fields, click Manage, then Custom Fields from the ML section. To delete a category, click the Delete icon to the right of the category to be deleted. To edit a category click the Edit icon to the right of the desired category.
When editing custom fields, a popup as shown below will appear where the priority can be set, the custom field label can be edited, and the machines for which the field applies can be selected:
Priority determines the order in which the custom fields are displayed. If the "Required" checkbox is checked, the custom field must be completed before a new Machine Log incident can be created.
Create a Custom Status
To create a Machine Log custom status, click Manage, and then Custom ML Statuses from the Machine Log section. Click the + Add status button in the upper right of the screen as shown below.
Create the status as shown below as best fits the needs of your organization:
Manage Custom Statuses
The Open and Resolved statuses will always be available and cannot be changed. To make changes to Machine Log statuses, click Manage, then Custom Statuses from the Machine Log section. To delete a status, click the Delete icon to the right of the status to be deleted. Note that you cannot delete a status once it is in use. To edit a status click the Edit icon to the right of the desired status.
When editing statuses a popup as shown below will appear where the status can be edited:
